07/31/2008  GMAs now easier, faster to complete

A lot of the basic information required in a Group Master Application (GMA) doesn't change year after year, and the time it takes to enter the information adds up. Beyond the time needed to complete the GMA, inaccuracy can slow down the enrollment process and add frustration. We can't change the requirements of the GMA but we've added functionality to our forms that should save you time and improve the accuracy and efficiency of the process.

We now provide pre-filled and editable (fillable) GMAs (2 to 99 and 100+) for groups selecting New products (ActivateSM, InnovaSM and EngageSM) for Aug. 1, 2008, effective dates and beyond.

You can access the pre-filled GMAs in Agent Center. Go to the My Groups page for all groups (prospects and renewals for groups of 2 to 99 and renewals for groups of 100+) while in the Quote window. Availability of a pre-filled GMA for a particular group will be indicated by a GMA icon to the far right of the group's name. Click on the icon to open the GMA. The pre-filled GMAs will have basic information about the group completed (pre-filled) on pages 1 and 2 from data we have stored on the group. The pre-filled information is fully editable and the form is fillable. Helpful Tool Tips explain what is needed for certain fields. Access the Tool Tips by mousing over the input areas of these fields.

The method you will use to save edits to the pre-filled information depends upon your software:

  • Users with Adobe Acrobat 8 Standard or Professional will be able to edit and save the GMA with changes. The saved GMA can then be passed to a user with Adobe Reader 7 or 8 to perform an edit-and-print session. Adobe Reader will not allow changes to be saved.
  • Users with Adobe Reader 7 or 8 will be able to complete the remainder of the GMA; however, it must be printed at the end of the editing session. Saving only saves the GMA with the information that was pre-filled.
Please be aware that certain renewing groups will require our assistance in generating the pre-filled GMA. If, after clicking the GMA icon, you get a message that the GMA could not be generated, please talk to your Regence Sales contact.

If you are not using Agent Center, please ask your Regence Sales contact for an emailed copy of the pre-filled GMAs.

Fillable GMAs (2-99 and 100+) are now available in the Forms link for New products on the Agent side of the public web site and in the Activate and Innova and Engage Agent Toolkits.

It is important to note that Regence still requires that the returned completed GMA is a hard copy signed by the group. The signature cannot be entered online.

The pre-filled and fillable GMAs are not available for new or renewing groups that are enrolling on existing products.
