Advanced Document Recognition (ADR) program improves processing and sharing of documents
Last month we notified you we would be making changes to some of our forms and adding barcodes and scanner targets at the bottom of all our forms. We recently sent letters to Regence InnovaSM, Regence EngageSM, Regence HSA Healthplan 2.0SM and RegenceActivateSM members to notify them that we are introducing a new program called Advanced Document Recognition (ADR). This new program affects how we share and process documents.
Starting June 15, Membership notified group administrators about this change. We also informed them that we were centralizing our post office box address and fax number and had created a new email address. This software will capture and image all communication types, including paper mail, email (including attachments) and faxes. This will provide more timely and efficient handling of all Membership documents.
Beginning June 22, 2009, we ask that all group administrators submit all Membership documents for the above named products to the following post office box, email address or fax number:
The one exception will be premium payments, which should follow the current mailing process.
If you are not using one of our electronic enrollment tools, please note that we are currently revising our forms to ADR software. These revisions include the following attributes:
- Barcodes located at the bottom of the form, which will identify the type of document (e.g., application, waiver, Group Master Application)
- Group number combs formatting, which means that the group number field will have a box for each digit of the group number
- Corner anchors, which will ensure that documents will be scanned straight
If you have a current supply of forms without the above attributes, we will continue to accept them. However, we are encouraging you to transition to the updated forms as soon as possible.
If you have any questions, please talk to your Regence Sales contact.
